Welcome to NexGen Event Management. By booking our services, you agree to the following terms and conditions. Please read them carefully.
1.1. All bookings are subject to availability.
1.2. A booking is confirmed only upon receipt of a non-refundable deposit.
1.3. Payment of the deposit constitutes acceptance of these terms and conditions.
1.4. The balance of the payment is due one month prior to the event. Failure to pay the balance by this deadline may result in cancellation of services and forfeiture of the deposit.
2.1. NexGen Event Management offers a range of entertainment services, including but not limited to DJ, MC, drumming, photobooth services and special effects.
2.2. Specific services to be provided will be detailed in the booking contract, including the type of entertainment, duration, and any special requests.
2.3. Any additional services requested on the day of the event will be subject to availability and additional charges, which must be settled before the end of the event.
3.1. The client must ensure that the venue is suitable for the services booked, including necessary space, power supply, and any required licenses or permits.
3.2. The client must provide safe and secure access to the venue for setup and breakdown of equipment.
3.3. The client is responsible for any damages to equipment caused by guests or venue staff. Costs for repairs or replacements will be charged to the client.
3.4. The client is responsible for ensuring that all NexGen Event Management staff and contractors are treated with respect. Any abusive or inappropriate behavior towards our staff or contractors will not be tolerated and may result in immediate cessation of services without refund.
3.5. For staff and contractors working for more than 3 hours, the client must provide a seat at the function and a meal. Failure to provide these accommodations may result in additional charges or disruption of services.
3.6. All music selections and run sheets must be finalized and submitted to NexGen Event Management at least 7 days prior to the event. Failure to do so may result in limitations on the services provided.
4.1. Cancellations must be made in writing and sent to NexGen Event Management’s contact email.
4.2. If the client cancels more than 30 days before the event, the client will forfeit the non-refundable deposit.
4.3. If the client cancels within 30 days of the event, the full balance is payable.
4.4. Changes to the date, time, or location of the event are subject to availability and may incur additional charges. Any changes must be requested in writing and approved by NexGen Event Management.
5.1. NexGen Event Management will provide professional and quality services as outlined in the booking.
5.2. All equipment will be set up and tested prior to the event start time to ensure proper functioning.
5.3. In the event of equipment failure, NexGen Event Management will make every effort to replace or repair the equipment promptly. If the issue cannot be resolved, a partial refund may be offered based on the extent of the impact on the service.
6.1. NexGen Event Management is not liable for any failure to perform its obligations due to circumstances beyond its control, including but not limited to acts of God, power failures, or issues with the venue.
6.2. The client agrees to indemnify and hold harmless NexGen Event Management from any claims, damages, or expenses arising from the event, except where caused by NexGen Event Management’s negligence.
7.1. NexGen Event Management strives for accuracy in all its communications and contracts. However, in the event of an error or omission on our part:
7.1.1. We will take all necessary steps to correct the error as soon as it is brought to our attention.
7.1.2. If the error impacts the service provided, we will offer a suitable remedy, which may include a partial refund, a discount on future services, or a re-performance of the service, depending on the nature and impact of the error.
7.1.3. Our liability for errors and omissions is limited to the value of the service affected.
8.1. NexGen Event Management reserves the right to take photographs and videos of the event for promotional purposes unless otherwise agreed in writing by the client.
8.2. The client grants NexGen Event Management permission to use such media in their marketing materials, including but not limited to social media, website, and printed materials.
9.1. NexGen Event Management will handle all personal data in accordance with relevant data protection laws.
9.2. Personal information will only be used for the purpose of providing services and will not be shared with third parties without the client’s consent.
9.3. Clients have the right to request access to their personal data and to request the correction or deletion of any inaccuracies.
10.1. Any disputes arising from these terms and conditions will be subject to the jurisdiction of the courts in the region where the event took place.
10.2. The parties agree to attempt mediation before resorting to legal action. Mediation will be conducted by a neutral third party agreed upon by both parties.
11.1. These terms and conditions constitute the entire agreement between the client and NexGen Event Management and supersede all prior agreements and understandings, whether written or oral.
11.2. Any amendments to these terms and conditions must be in writing and signed by both parties.
11.3. If any provision of these terms and conditions is found to be unenforceable, the remaining provisions will remain in full force and effect.
